Who we are
Ace Bin Cleaning Ltd (company number 15664903), 49 Parry Road, Southampton, SO19 0HT, is responsible for the personal data we hold. We're registered with the Information Commissioner's Office (ICO), reference ZC275620. For any privacy question, email info@acebincleaning.co.uk.
What we collect
- Contact details for the people we deal with: name, job title, company, email address and phone number.
- Site details: the address and postcode of each site, access arrangements, bin numbers and sizes, and any photos you send us.
- Quotes, schedules, invoices and payment records (we don't store card details).
- Emails and messages you send us, including enquiries through this website.
Where we get it from
Mostly from you, when you send an enquiry, accept a quote or work with us. We also find contact details for managing agents, property companies and other businesses from publicly available business sources, such as company websites, Companies House and professional directories, so we can introduce our services.
Why we use it
- To answer your enquiry and quote: arranging your free Health Check or Site Visit and preparing a fixed-price quote, at your request.
- To carry out the work: scheduling, site access, reports, invoices and any paperwork the job needs. This is needed for our contract with your organisation.
- To keep accounting records: because the law requires it.
- To tell businesses about our services: occasional emails to business contacts about our work. We do this because it's in our legitimate interests to promote our services to organisations that manage bins and bin stores. You can opt out at any time by replying "unsubscribe" or emailing info@acebincleaning.co.uk, and we'll stop straight away.
- To understand how our website is used: only if you accept analytics and marketing cookies (see below).
We never sell your data.
Who we share it with
Only the services we use to run the business: our website and enquiry form host (Netlify), the tool that sends our enquiry emails (Make), our email provider, our office software (Microsoft 365), our scheduling software and our payment providers. If you accept cookies, Google Analytics and Meta (Facebook) receive information about your visit. We'll share details with your managing agent or client contact where the job needs it.
How long we keep it
For clients, while we work for you and then for 6 years after our last job, because we must keep financial records for that long. After that, we delete the details. If you send an enquiry but don't go ahead, we delete your details within 12 months. If we contacted you about our services and you're not a client, we keep your business contact details only while they're useful for that, and delete them as soon as you opt out.
Your rights
You can ask us for a copy of your data, to correct it, to delete it, or to stop using it for a particular purpose, including marketing. Email info@acebincleaning.co.uk. If you're unhappy with how we've handled your data, you can complain to the ICO at ico.org.uk.
Cookies
Our website works without cookies. With your permission, we use:
- Google Analytics, to count visits and see which pages are useful.
- Meta Pixel, to measure our Facebook adverts and the enquiries that come from them.
These only load if you press "Accept" on the cookie banner. You can change your choice at any time: cookie settings.
